For real estate

From lead to site visit to booking, without leads going cold

For builders, developers, brokers and channel partners: every lead from ads, portals, walk-ins and partners called back in minutes, site visits booked and reminded, partner leads recorded fairly, and every visitor followed up until they book or say no.

The problem

Sound familiar?

  • Lead subah aaya, call shaam ko kiya. Tab tak woh teen aur projects dekh chuka tha.
  • Portal and ad leads are dropped in a WhatsApp group, and whoever grabs one owns it.
  • Site visits are fixed on the phone with no reminder, and many buyers simply do not turn up.
  • Brokers claim buyers you already had, and brokerage disputes take your time.
  • After the site visit, follow-up depends on one salesperson. When he leaves, his buyers leave with him.
  • You spend lakhs on portals and ads and cannot say which brought the bookings.
Where the money leaks

The leaks we look for first

  1. Lead response time

A buyer who enquired on three projects talks to whoever calls first. A call within minutes beats a perfect pitch three hours later.

  2. Site visits not reminded

A visit booked without a confirmation and a reminder is the easiest to lose, and each one cost the leads it took to book it.

  3. No follow-up after the visit

Property decisions take weeks. Without scheduled follow-up (the price sheet, the payment plan, a family visit), the buyer drifts to a project that kept in touch.

  4. Channel partner disputes

Without time-stamped lead ownership, brokerage arguments cost money and goodwill on both sides.

  5. Spend you cannot trace to bookings

Cost per lead looks cheap until you see the cost per site visit and per booking.

The system for real estate

The Self-Running Business System, layer by layer

Six layers, installed in order. The same method as every business, in your industry's words.

  1. Diagnose

Lead sources, response times, visit rates, follow-up after visits, partner rules and booking records, scored, with each leak priced.

    Growth Diagnostic →
  2. Credibility

Project pages with the RERA number, floor plans, location and construction updates, and a Google Business Profile for the site office.

    Credibility Builder →
  3. Demand

Google & Meta ads and portals by project, measured by site visits and bookings, with budget moved to what brings visits.

    Demand Engine →
  4. Convert

An instant WhatsApp reply with the brochure, a call within minutes from an assigned salesperson, visit booking with confirmation and reminders, and follow-up after every visit.

    Conversion System →
  5. Operate

One CRM for every lead and partner, time-stamped lead ownership for channel partners, a clean pre-sales to sales handover, and booking-to-registration tracking.

    Operations System →
  6. Measure & Run

A weekly project dashboard: leads by source, response time, visits, bookings, cost per visit and cost per booking, reviewed every month.

A worked example

What it looks like in practice

Example, not a client

Example: a builder selling one residential project of 120 flats, with five sales staff

  1. Row 1 of 5: problem, fix, result.
    Before

Leads from portals, ads and walk-ins dropped in a WhatsApp group

    The system

Every lead in one CRM with its source, assigned in turn to the team

    Layer: Operate
    What changes

Every lead has a named owner

  2. Row 2 of 5: problem, fix, result.
    Before

Leads are called when someone is free

    The system

An instant WhatsApp reply with the brochure, and a call within minutes

    Layer: Convert
    What changes

Response time is visible, lead by lead

  3. Row 3 of 5: problem, fix, result.
    Before

Site visits fixed by phone, with no reminder

    The system

Visit confirmation, a reminder the day before, a location pin on the day

    Layer: Convert
    What changes

Visits are reminded without anyone having to remember

  4. Row 4 of 5: problem, fix, result.
    Before

After the visit, follow-up depends on one salesperson

    The system

A post-visit sequence: price sheet, payment plan, family-visit invite

    Layer: Convert
    What changes

Every visitor hears from you until they book or say no

  5. Row 5 of 5: problem, fix, result.
    Before

Channel partner leads written in a notebook

    The system

Partners register buyers with a time stamp before the visit

    Layer: Operate
    What changes

Brokerage questions are settled by the record, not by argument

An illustration of how the system fits a typical business of this kind. It is not a client story and claims no result. To see what these changes are worth at your own numbers, use the real estate lead to sale calculator.

It starts with the Growth Diagnostic (₹25k–₹1L, +18% GST), which scores every layer of your business and ends with a 90-day plan. For most businesses like yours the Growth OS Pro package fits: ₹3.5L setup + ₹1.25L a month, +18% GST. You can also start with one service at a time; each price is listed on this page.

Most portals can send leads by email or an integration; those feed the CRM directly, so the first reply goes out at once. Where a portal cannot, a simple forwarding routine is set up.

Partners register a buyer before the visit through a form; the CRM stamps the time and the partner. If the buyer is already in your system, the partner is told at once. The ownership rules are agreed with you in writing.

The same flow works for brokers: many projects instead of one, and commission instead of margin. The real estate calculator has a broker mode.

If you want, as part of the Demand Engine. Some builders keep their existing agency for creatives; the system then measures every channel by site visits and bookings, whoever runs it.
